Ask only for information needed to follow up. A name, reply address and short message are enough for many enquiries. Explain that these details go to the page owner before the visitor submits them.

Build and test the details

Do not silently subscribe contact-form visitors to a newsletter. Requesting a reply and agreeing to ongoing marketing are different actions. Link to your organization’s privacy information where appropriate.

Review after publishing

Review messages regularly and restrict access to the people responsible for replies. Establish a retention routine and remove information no longer needed. Test the confirmation screen without assuming a confirmation email was automatically sent.
